Advantage Technologies B.V.
Privacy Policy
Advantage Technologies B.V. operates the AdvantageEHS website and platform. This policy explains what personal data we collect when you use this website, why we collect it, who we share it with, and what you can ask us to do with it.
1. Who we are
Advantage Technologies B.V. Bellemeerstraat 45, 2493 XP The Hague, The Netherlands Registered with the Dutch Chamber of Commerce under KVK 42022538 VAT NL868101746B01
We are the data controller for the personal data described in this policy, which means we decide why it is collected and what happens to it.
You can reach us about anything in this policy at legal@advantageehs.com, or by post at the address above.
We have not appointed a Data Protection Officer. We are not required to have one, because we are not a public body, we do not monitor people on a large scale, and we do not process special categories of data on a large scale.
2. What this policy covers, and what it does not
This policy covers personal data we collect through this website. That means visitors to the site, people who request a demonstration, people who download a copy of their calculator results, and people who subscribe to articles.
It does not cover personal data that a customer enters into the AdvantageEHS platform, such as the names of people who raise or authorise a permit. For that data the customer is the controller and we act only on their instructions. Those arrangements are set out in our Data Processing Agreement.
3. What we collect, why, and on what basis
What we collect | When | Why | Legal basis |
|---|---|---|---|
Name, company, work email, and anything you write to us | You request a demonstration or contact us | To reply, and to prepare for a conversation you asked for | Steps taken at your request before entering a contract, Article 6(1)(b) |
First name, company, work email | You ask for a copy of your calculator results | To produce and send the document you asked for | Consent, Article 6(1)(a) |
The figures you enter into the calculator | You use the calculator | To calculate the result on screen and to produce your copy if you request one | Consent, Article 6(1)(a). The figures stay in your browser unless you ask for a copy |
Email address | You subscribe to articles | To send the articles you asked for | Consent, Article 6(1)(a) |
Anonymised page view statistics | Any visit | To understand which pages are useful | Not personal data once anonymised. See section 4 |
Correspondence and records of what we agreed | Throughout | To keep an accurate record and to meet accounting and tax obligations | Legal obligation, Article 6(1)(c), and our legitimate interest in keeping records, Article 6(1)(f) |
We do not buy personal data, we do not sell it, and we do not use it to build profiles or to make automated decisions about anyone.
4. Cookies and analytics
This website uses Framer's built-in analytics. It sets no cookies and creates no persistent identifier. To count daily visitors it combines your IP address and browser type with a secret value that changes and is destroyed every day, so the result cannot be linked back to you or matched across days.
Because nothing is stored on your device and the result is anonymous, this does not require your consent and there is no cookie banner.
Typefaces are served from our own infrastructure. Nothing about your visit is requested from a third-party font service.
When you ask for a copy of your calculator results, the document is produced inside your browser using code served from our own site. The figures you entered are not uploaded to us, and no third party is involved in producing the file.
If analytics, advertising or any other third-party script is added later, this section and the cookie policy both have to change, and a consent banner becomes mandatory before that script may run.
5. Who we share it with
We use a small number of suppliers who process personal data on our behalf. Each is bound by a contract that limits them to our instructions.
Supplier | What they do | Where |
|---|---|---|
Framer B.V., Rozengracht 207B, 1016 LZ Amsterdam, KVK 59920637 | Hosts this website and provides its analytics | European Union |
Scaleway | Hosts the AdvantageEHS platform | France |
Infomaniak | Our business email, which carries correspondence with you | Switzerland |
Odoo S.A., Chaussée de Namur 40, 1367 Grand Rosière, Belgium, VAT BE0477472701 | Our customer relationship management system, holding demo requests, calculator enquiries, pilot enquiries and our correspondence with you | European Union. See section 6 |
We also share personal data where the law requires it, and we would share it with a buyer if the business were sold, in which case this policy would continue to apply until you were told otherwise.
6. Where your data is stored
The AdvantageEHS platform runs on infrastructure located in France. This website is hosted in the European Union. We chose European providers deliberately, because the people we build for operate under European regulation and their safety records should sit under the same jurisdiction.
Our business email is provided by Infomaniak and is held in Switzerland. Switzerland is outside the European Union, but the European Commission has decided that Swiss data protection law offers an equivalent level of protection, most recently reconfirmed in January 2024. That decision is what permits the transfer, and no further safeguards are required.
Our CRM, and where that data sits. When you request a demonstration, ask for your calculator results, enquire about a pilot or write to us, those details are held in Odoo. We contract with Odoo S.A., a Belgian company, and our database sits in Odoo's European hosting region, with the live copy in Saint-Ghislain, Belgium.
Odoo does not own that infrastructure. Hosting and backups for the European region are provided by OVH S.A.S. in France and by Google Cloud EMEA Limited, an Irish company, and Odoo's customers cannot choose between the two. Backup copies are held in France, the Netherlands and Sweden. Every one of those locations is inside the European Union.
Two things are worth saying plainly rather than leaving you to find them. Staff at Odoo subsidiaries outside the European Union may see this data when they are supporting the service, and Odoo binds those subsidiaries with the European Commission's standard contractual clauses. And when we delete something from our CRM, a copy can remain in Odoo's backups for up to twelve months before it is overwritten.
Odoo publishes its full supplier list and its hosting locations at odoo.com/privacy, and we are told before they change.
We tell you this because you may reasonably want to know it. It applies to enquiry and correspondence details only. It does not apply to anything a customer records in the AdvantageEHS platform, which stays in France and is covered by our Data Processing Agreement.
If we later use a supplier in a country with no adequacy decision and no other lawful mechanism, we will not make that transfer.
7. How long we keep it
What | How long |
|---|---|
Demo requests and enquiries that do not become customers | 24 months from our last contact with you |
Calculator enquiries | 24 months from our last contact with you |
Article subscriptions | Until you unsubscribe |
Correspondence and records relating to a contract | Seven years, which is the Dutch statutory retention period for business records |
Anonymised page statistics | Indefinitely, because they identify nobody |
These periods are enforced, not aspirational. If you would rather we deleted something sooner, ask and we will.
8. Your rights
Under the GDPR you can ask us to:
give you a copy of the personal data we hold about you
correct anything that is wrong or incomplete
delete your data, where there is no reason for us to keep it
restrict what we do with it while a question is resolved
send it to you, or to someone else, in a portable format
stop processing it where we rely on legitimate interest
stop using it for marketing, which is an absolute right you can exercise at any time
Where we rely on your consent, you can withdraw it whenever you like. That does not undo anything done before you withdrew it.
We answer within one month. If a request is complicated we may take up to two months longer, and we will tell you within the first month if that happens. There is no charge unless a request is clearly excessive or repetitive.
9. How to reach us
Email legal@advantageehs.com, or write to Advantage Technologies B.V., Bellemeerstraat 45, 2493 XP The Hague, The Netherlands.
Please say what you are asking for. We may need to check who you are before we hand over personal data, which is a protection for you rather than an obstacle.
10. Complaints
If you are not satisfied with how we have handled your data, you can complain to the Dutch data protection authority, the Autoriteit Persoonsgegevens, at autoriteitpersoonsgegevens.nl. If you live in another EU country you can complain to your own national authority instead.
We would rather hear from you first, so please give us the chance to put it right.
11. Children
This website and the AdvantageEHS platform are meant for people at work. We do not aim either at children and we do not knowingly collect data about them. If you believe we have, tell us and we will delete it.
12. Changes to this policy
We review this policy when what we do changes. The date at the top of the page shows when it was last updated. If a change matters to you, we will do more than change the date.
